Key Responsibilities:

A. Case Preparation & Administrative Support 

  • Assist with the preparation of visa application stages and supporting documentation in line with provided instructions.
  • Upload, organise, and maintain case documents in Migration Manager.  
  • Support case progression from initiation through lodgement under supervision. 
  • Assist with lodgement preparation to ensure completeness and accuracy of documentation. 
  • Support responses to Department of Home Affairs (DHA) requests for information (RFIs) as directed. 

B. Client Communication & Support 

  • Communicate with clients via email, phone, MS Teams, or Zoom to request documents and provide routine updates. 
  • Proactively follow up with clients to obtain required information within set timelines. 
  • Assist in preparing materials for client meetings and case progress updates. 
  • Deliver professional, courteous, and responsive client service at all times. 

C. Documentation, Compliance & Research 

  • Maintain accurate and up-to-date client records in Migration Manager. 
  • Check client documentation for completeness and consistency prior to review by senior team members. 
  • Follow internal checklists, templates, and standard operating procedures. 
  • Assist with basic research on immigration legislation, policies, and procedural updates. 
  • Escalate complex or unclear matters to the Associate Case Manager or Registered Migration Agent. 

D. Team Collaboration & Workflow Support 

  • Work closely with Associate Case Managers, Case Managers, and support teams to ensure smooth case handovers. 
  • Add new prospect matters to Migration Manager as instructed. 
  • Support scheduling workflows and internal task coordination.
  • Assist with referral processes for associated services, including health insurance and partner services. 
  • Support internal initiatives such as marketing campaigns, webinars, and events when required. 

E. Operational Efficiency & Reporting 

  • Monitor and respond to incoming emails and case-related communications promptly. 
  • Update case statuses and task completion notes accurately in Migration Manager. 
  • Assist in tracking case milestones and meeting team lodgement targets. 
  • Support continuous improvement initiatives and process enhancements. 
  • Demonstrate attention to detail, accountability, and commitment to positive visa outcomes. 

Is this You? :

  • Minimum of 4 years of experience in General Skilled Migration (GSM) for Australia .

  • You possess strong research skills, particularly in Legendcom, to navigate new and complex immigration matters.
  • You work well in a busy, collaborative, and social team environment, bringing positive energy and a willingness to contribute.
  • You are comfortable and proficient in using software such as Migration Manager to manage cases effectively.
