Position Overview

We are seeking a highly skilled and detail-oriented Executive Assistant to provide strategic, analytical, and operational support to our senior executives. The ideal candidate will excel in strategic planning, financial analysis, and project management, ensuring the seamless execution of business strategies and daily operations. This role is crucial in driving data-informed decision-making, managing cross-functional projects, and enhancing business processes to align with organizational goals.

Roles & Responsibilities

Communication and Liaison:
  • Serve as a key liaison between the Founder’s office and internal/external stakeholders.
  • Prepare clear and concise communications, including memos, emails, and reports.
  • Facilitate meetings, ensuring effective communication and follow-up on action items.
Administrative and Event Management:
  • Manage event budgets, coordinate event logistics, and ensure events stay within budget.
  • Arrange travel, meetings, and event planning, including researching options and coordinating with vendors.
Operational Support:
  • Analyze business processes and workflows, identifying areas for improvement and optimization.
  • Assist in the development and implementation of business policies and procedures.
  • Provide daily operational support to the Founder, including scheduling, meeting preparation, and follow-up.
  • Manage the executive’s calendar, ensuring efficient time management and prioritization of appointments.
  • Record and distribute meeting minutes, capturing key discussions, decisions, and action items.
Strategic Analysis and Reporting:
  • Develop and maintain business performance dashboards and reports for executive review.
  • Prepare strategic presentations.
Task/ Project Management:
  • Oversee and manage cross-functional tasks/projects from initiation to completion, ensuring alignment with business objectives.
  • Track task/project milestones, deliverables, and timelines to ensure projects are delivered on time and within scope.
  • Coordinate with various departments to gather information and ensure task deliverables are met.

Candidate Must Have

  • Comfort with working hours of 5:30 AM to 2:30 PM IST (10:00 AM to 7:00 PM AEST).
  • A graduate degree with at least 5 years of experience in Executive Support, preferably within a growing environment or as an entrepreneur, showcasing an entrepreneurial mindset and proactive approach to problem-solving.
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and strong organizational skills to manage multiple tasks and adapt to changing priorities in a dynamic environment.
  • A growth mindset, with a willingness to quickly learn new skills and a commitment to continuous improvement.
